Prepare for the 15 January deadline – top tips to save you time

If it’s your job to send applications to UCAS, you’ll understand how many students leave it 'til the last minute!

There are some tasks you can get done which will save you time in the final countdown.

  1. Check your students’ progress
    • Click the Send to UCAS link in Apply for advisers to check for any incomplete applications.
  2. Create, edit, and approve references
    • You’ll need to complete a reference for each application before sending it to us. Need a steer on writing one? Take a look at our adviser reference guide. Don’t forget you can attach your reference and predicted grades as soon as the applicant has completed the education section in Apply.
  3. When the applications are ready…
    • Make sure that the application is complete — Please check that each student completes every section of their UCAS application – and that all the necessary information is included – before you send their application to us. Make sure you have entered all predicted grades before sending the application to us, as we cannot add these at a later date. If you submit an application and then realise something’s missing, you’ll need to inform the relevant universities or colleges directly.
    • Submit applications in small batches — If you’re sending us a large number of applications (over 100), please submit them to us in smaller batches. This prevents our system from slowing down, and enables us to process applications faster.
    • Keep your students informed — Many students think that clicking Pay/Send in Apply will send their application to us. To avoid confusion, please keep them informed by letting them know when you’ve sent their application to us.

And here are two of the most frequently asked questions from advisers:

  1. How do we link an application to our centre?
    • The applicant can link their application to your centre by using the Options button in Apply. Alternatively, you can call the Schools Team on the below number, quoting your five-digit UCAS number, and we'll link the application for you.
  2. Why can’t we see this application in our applicant list?
    • In Apply for advisers, click on Link applications to centre, then Applications to be part of centre, to make sure the application is linked through correctly.
